5 Signs Your Books Need a Clean Up

Running a business is busy work — and bookkeeping can quietly slip down the priority list. Here are five signs it might be time for a clean up.

Running a business is busy work. Between serving customers, managing staff and keeping everything moving, bookkeeping is one of those tasks that can quietly slip down the priority list — and before you know it, the books are no longer as tidy as they should be.

At Banks Bookkeeping Services, we've helped plenty of business owners who thought their books were perfectly fine — right up until we looked a little closer. What we often find is a slow build-up of small errors: incorrect balances, uncategorised transactions, payment processor issues and old invoices that should have been dealt with long ago. None of it is unusual, but left unchecked, it can start to affect the accuracy of your reports and the decisions you make from them.

The good news is that your books usually give you warning signs before things get serious. Here are five signs it might be time for a clean up.

1. Your bank balance doesn't match your bookkeeping software

Your bookkeeping balances should always match your actual bank and credit card statements. When they don't, it's a clear signal something needs reviewing.

For example, if your software shows $15,000 in your transaction account but your bank statement shows $11,500, there's a gap that needs explaining. The usual culprits are missing transactions, duplicates or transactions recorded incorrectly. It's a simple thing to miss, but it's also one of the easiest issues to fix once it's been spotted.

2. You have transactions sitting in uncategorised accounts

Take a look at accounts like Uncategorised Income and Uncategorised Expenses. If transactions are piling up there, it means they haven't been properly classified yet — and until they are, your financial reports may not be telling you the full story.

It's easy for transactions to land in these accounts when things get busy, but leaving them there means you're effectively making decisions based on incomplete information. A regular review keeps these accounts clear and your reports accurate.

3. Your Stripe or PayPal activity isn't recorded correctly

If you accept payments through Stripe, PayPal or another payment processor, it's important that both your sales and your processing fees are being recorded properly.

Here's a common example: a customer pays $1,000, and Stripe deposits $970 into your account after taking a $30 fee. If you simply record the $970 deposit as income, you end up understating both your income and your expenses — which means your reports don't reflect what's actually happening in your business.

Your payment processor accounts should also be reviewed and reconciled individually, just like your bank accounts. It's a small step that makes a meaningful difference to accuracy.

4. Your Accounts Receivable has old invoices that shouldn't be there

If your books show customers still owing you money for invoices that were already paid, cancelled or should have been written off, your Accounts Receivable may no longer be accurate.

Old invoices lingering on the books is one of the most common issues we come across. Taking the time to review older invoices — and making sure payments, credits and write-offs are recorded correctly — keeps your Accounts Receivable figure genuine and your reports trustworthy.

5. Your Balance Sheet has negative balances that don't make sense

Unexpected negative balances in asset accounts — such as your bank accounts or Accounts Receivable — are always worth investigating.

For instance, if your books show a negative bank balance but there's actually money sitting in the account, there's almost certainly a missing or incorrectly recorded transaction behind it. Negative balances that don't reflect reality are a sign that your books need a closer look.
